Last updated 7 October 2026.

There are four ways to book a pitch at Willen Lake. Each has its own payment and cancellation terms, set out below. The General Facility Terms at the end of this page apply to every booking, whichever type it is.

The four booking types at a glance

Long-term, league or commercialOngoing or agreed term28 days' notice to endInvoice or recurring

1. One-off booking

For hiring a pitch for an individual session.

  • Payment is taken in full at the time of booking.
  • The booking is only confirmed once payment has been received.
  • At least 7 days' notice is required to cancel or move a booking.
  • Cancellations made with less than 7 days' notice remain fully chargeable.
  • No-shows are fully chargeable.
  • Late arrival does not extend the booking.
  • You must leave the pitch promptly at the booked finish time.

2. Standard block booking

For teams and groups wanting the same regular slot for a set number of weeks, for example 6, 8 or 10 weeks.

Payment

  • You enter your card details when setting up the block. Payments are then collected automatically on the agreed payment dates.
  • You must keep a valid payment method with sufficient funds in place for the whole block.
  • A failed payment does not automatically cancel the rest of the block.
  • We may suspend future sessions while any payment remains outstanding.

Duration

  • The booking runs for the number of weeks selected when booking.
  • At the end of the block you have no automatic right to keep the slot. Any extension or new block is subject to availability.

Cancellation

  • At least 14 days' notice is required to cancel an individual session for a credit.
  • Sessions cancelled with less than 14 days' notice remain payable.
  • No-shows remain payable.

Winter restriction

Between 1 October and 31 March, a standard block booking cannot normally be used to take a weekday peak-time slot (Monday to Friday, 5pm to 10pm) where doing so would stop us offering that slot to a club that needs it for the whole winter. Those slots must be booked as a Winter Training Booking.

3. Winter Training Booking

1 October to 31 March. This is deliberately not an ordinary block booking. It is a firm seasonal commitment for clubs and teams that need regular floodlit winter training.

Full commitment

By confirming a Winter Training Booking, you commit to your selected peak-time slot on your selected day every week through to 31 March. For example, Tuesday 7pm to 8pm means every Tuesday, 7pm to 8pm, for the whole Winter Training Period.

  • The booking is a firm commitment through to 31 March. It cannot be shortened or cancelled because your team changes its training arrangements, loses players, moves venue or no longer needs the slot. The agreed winter sessions remain payable.
  • If your team starts after 1 October, the commitment runs from the agreed start date through to 31 March.

Missed sessions

If your team chooses not to use a session, that session remains payable. This includes not having enough players, the coach being unavailable, a match or fixture elsewhere, the team choosing not to train, or a change in training arrangements. Unused sessions cannot normally be refunded, credited or carried forward.

Christmas break

Up to two agreed weeks over Christmas and New Year may be excluded at no charge. These dates must be agreed in advance.

Ending early

There is no automatic right to end a Winter Training Booking early. In genuinely exceptional circumstances we may, at our discretion, release a club from some or all of its remaining commitment. Any such release must be confirmed in writing.

Payment

Payment can be made in advance or through the agreed recurring payment schedule. A failed payment does not end the commitment.

Junior teams

Junior teams and clubs are responsible for their own safeguarding. Where applicable they must have a Club Welfare or Safeguarding Officer, a safeguarding policy, adult supervision, DBS or vetting arrangements, and their governing body's safeguarding procedures in place.

First aid and insurance

The team must provide its own first aid kit and first aid cover at every session, and the club or team must hold appropriate insurance for its activities.

Renewal

The booking ends on 31 March. It does not guarantee the same slot the following winter, although reliable existing customers may be offered the first opportunity to renew.

Booking acknowledgement

Before a Winter Training Booking is completed, you must confirm the following:

I understand that this is a full Winter Training commitment and that I am committing to my selected day and peak-time slot every week through to 31 March. I understand that sessions we choose not to use remain payable, subject only to the agreed Christmas and New Year break and sessions cancelled by Kick Off Sports.

4. Long-term, league or commercial booking

For leagues, coaching companies and other operators taking a regular slot on an ongoing basis. These are not sold through the online block booking system. Each one has its own Long-Term or Commercial Booking Agreement, which records the organisation, pitch, day, regular time, start date, hire rate, payment arrangements, contact details and any special conditions.

Payment

Payment is made in advance by agreed invoice or recurring payment. Persistent late payment or non-payment may lead to suspension or termination.

Cancelling individual sessions

Unless agreed otherwise, at least 14 days' notice is required to cancel an individual session. Inside 14 days, the full hire charge remains payable. Repeated cancellations may lead us to review whether it is commercially reasonable to keep reserving the slot.

Ending the booking

Unless a fixed term has been agreed, either party may end the booking with 28 days' written notice. Sessions within the notice period remain payable.

Price changes

We may review the hire price, giving at least 28 days' written notice before any increase takes effect.

Your responsibilities

The organisation remains responsible for running its own league or activity, including its players and participants, registrations, fixtures, referees, coaches, discipline, first aid, safeguarding, insurance, employees and contractors, spectators, and communication with its own customers. Kick Off Sports provides the facility; it does not become responsible for running your league or activity.

No exclusivity and no tenancy

A long-term booking does not give exclusive rights to run leagues, coaching or similar activities at Willen Lake unless agreed in writing. The agreement gives permission to use the facility during the agreed booking periods. It does not create a lease, tenancy or right to exclusive possession.

General Facility Terms

These apply to all four booking types.

First aid

Organised clubs, teams, leagues, coaches and businesses must provide their own first aid kit and first aid arrangements. Kick Off Sports does not provide dedicated first aid cover for independently organised activities.

Insurance

Organised hirers are responsible for holding appropriate insurance for their activities. We may ask to see evidence of it.

Injury and participation

Football and other sports carry an inherent risk of accident and injury. Participants use the facility and take part at their own risk, and Kick Off Sports accepts no responsibility for injuries arising from the ordinary risks of taking part in sport. Nothing in these terms excludes or limits our liability for death or personal injury caused by our own negligence, or any other liability that cannot be excluded by law.

Safeguarding

The organisation running a junior activity is responsible for safeguarding its participants. Appropriate safeguarding policies, Welfare or Safeguarding Officers, supervision and DBS arrangements must be in place where applicable. Anyone under 18 must be accompanied and supervised by an adult.

Behaviour

Fighting or threatening behaviour, discrimination or harassment, serious or persistent abusive language, deliberate damage and dangerous behaviour are not permitted. We may remove individuals, and suspend or end bookings, following serious or repeated misconduct.

Alcohol, drugs, smoking and food

  • No alcohol on the playing surface. Anyone who appears intoxicated or under the influence of illegal drugs may be refused entry.
  • No smoking or vaping on the pitches or in the spectator areas.
  • No chewing gum, tobacco or nicotine products, including nicotine pouches, on the playing surface.
  • Only water may be taken onto the playing surface.
  • Spectators are not permitted on the playing surface.

Footwear

Permitted: boots with moulded plastic or rubber studs, Astro or multi-stud trainers, and suitable clean flat-soled trainers. Metal studs and bladed boots are not permitted. Anyone wearing unsuitable footwear will be asked to change or leave, and no refund will be given.

Litter

Please leave the facility tidy and take away your bottles, tape, packaging and other rubbish. Excessive cleaning may be charged to the hirer.

Damage

The hirer may be charged for damage caused deliberately, recklessly or negligently by members of their group.

Booking times

Your booking includes warm-up, set-up and clearing the pitch. Late arrival does not extend the booking, and you must vacate the pitch promptly at the end.

Car parking

Willen Lake parking charges apply. Parking is operated separately from Kick Off Sports. Please make your players, parents, coaches and spectators aware of the charges. Visitors are responsible for checking the signage and paying the correct charge.

Cancellation by Kick Off Sports

If we have to cancel a session because of unsafe conditions, flooding, severe weather, floodlight or equipment failure, essential maintenance, emergency repairs or site closure, the session will normally be rearranged, credited or refunded. We are not responsible for knock-on costs such as referee fees, travel costs or lost league income, except where that liability cannot be excluded by law.

Data retention

Enquiry and booking records are kept only for as long as needed to administer the enquiry or booking and meet our legal, tax, accounting and safeguarding obligations. Booking and payment records needed for accounting are normally kept for six years from the end of the financial year they relate to, or longer where the law requires it. Other personal data is securely deleted or anonymised when no longer required.
